Introduction

C3 Church Adelaide Inner South Inc. (C3AIS Inc and in this document “the Church”) has prepared this Privacy Policy to ensure that we always respect the right to privacy of those with whom we interact.

In Australia organisations with an annual turnover in excess of $3M are legally required to abide by 13 Australian Privacy Principles that govern standards, rights and obligations around the collection, use and disclosure of personal information as the procedural means to comply with the Privacy Act 1988. They are referred to as APP entities. 

The Church is not an “APP entity” (see https://www.oaic.gov.au/privacy/australian-privacy-principles for more details). However, in order to safeguard an individual’s right to privacy, we have created this policy to reflect the spirit and intent of the government’s privacy policy legislation. This will ensure we protect the trust people place in us when they provide us with their personal details.

Policy

C3AIS Inc will collect personal information from church members, visitors, staff, and other individuals. 

The main types of information that C3AIS Inc collects are name, address, phone and e-mail contact details. Our records also include details of events and activities in which the person has participated, the date when the person joined or left the church, and reasons for joining or leaving the church.

We collect most of this information directly from those individuals, such as when someone registers for Team Volunteering, a Ministry Program, Event Registration and Image Release Form, attends the church and fills in a visitor’s card, or completes the Personal Details Form online. 

Using and Disclosing Personal Information

We collect information from church members for purposes including:

●      Ongoing pastoral care of members

●      Managing and reporting church membership and attendance statistics to C3 Australia (no identifiable personal information is disclosed)

●      Organising activities and events such as small group meetings

●      Contact details in cases of emergency/ critical incidents

We collect information on visitors and other individuals for purposes including:

●      Follow-up after a visit to a church when someone has filled in a visitor card

●      Organising activities and events such as small group meetings

●      Maintenance and security of our website.

C3AIS will not routinely disclose personal information to other individuals or organisations. The circumstances when we might disclose this information include:

●      When required by law or court order

●      It is necessary for the purpose for which the information was collected such as providing booking details to a conference organisation

●      When it is necessary to protect the personal safety or welfare of another person

●      A change in the church’s organisational structure makes it necessary

●      When necessary and in the interests of the individual’s spiritual welfare.

Receiving unwanted contact

Any person who is contacted by C3AIS via information provided to C3AIS can request to stop receiving any or all correspondence by contacting the church office by phone or email. 

Photography and Videography

The church may take photographs and video footage during events or services for us to use for communications and promotional material. If you do not wish for us to use your image, please let us know by emailing the C3AIS Inc Admin Team (admin@c3is.au) and we will ensure that your image is not used. Photographs and Videos taken by the church remain the property of C3AIS Inc and are protected from public use in the same way that personal information is protected.

Where we store your personal information and how you can access it

We store personal information in secure electronic systems and, where necessary, in paper records. We take reasonable steps to keep this information safe from loss, misuse, or unauthorised access.

Your personal information may be stored on our own systems or with trusted service providers who help us operate our services (for example, cloud storage or IT providers). These providers may store data in Australia or overseas, depending on the systems they use.

Access, correction, and deletion

You can contact us at any time if you want to:

●      access the personal information we hold about you

●      ask us to correct something that is wrong or out of date

●      request that we delete your personal information

We will do our best to respond within a reasonable time (The Office of the Australian Information Commissioner suggests that a reasonable period for organisations should not exceed 30 calendar days). In some cases, we may need to keep certain information for legal, security, or business reasons, but we will always let you know if that applies.

Amendments and changes to the Privacy Policy

Community expectations in regards to privacy and the legal compliance requirements for obtaining and storing personal information means that this policy may be subject to change and or amendment in the future. In the event that we become aware of any ongoing concerns or problems concerning our privacy practices, or if you have any further queries relating to our Privacy Policy, or you have a problem or complaint, please contact us at the church office.
